Job Description
WhyMaker is looking for an independent self-starter who is extremely organized and detail-oriented, has great communication skills, and loves to follow through. The executive assistant will support the head of Operations, which includes human resources and finance, with calendar management and scheduling, file and document management, contracts and compliance documentation, complex business and insurance requirements, and supporting the hiring, onboarding and contract processes. The ideal candidate will be a resourceful critical thinker and creative problem solver with great attention to detail, and who can work independently within a fast-paced, small business environment.
We’re looking for someone who can anticipate needs, prioritize, and maintain a high level of organization, ensuring time, priorities, and commitments are managed with precision and care.
KEY RESPONSIBILITIES
- Scheduling and managing the calendar
- Coordinating and handling communications as needed
- Tracking and organizing project tasks and priorities, ensuring deadlines, to-dos, and follow-ups are managed seamlessly
- Planning and booking travel arrangements, including flights and accommodations, and creating detailed itineraries
- Filling out insurance and compliance documents
- Tracking invoices and payments
- Filing documents, organizing and maintaining Google Drive folders and our project management system
- Manage all HR onboarding tasks
- Create contracts, statements of work, and SOPs
- Support team members and projects as needed

QUALIFICATIONS
- 3+ years of experience as an administrative assistant required
- Experience with Google Drive, contracts, and project management tools
- Experience with Monday.com and PandaDocs is a bonus
- Experience working with NYS is a bonus

- W2 or W9 position
- US or globally
